Vector Solutions Integration

Bring driver training completions into DriverHub for a complete Driver Qualification File.

Overview

The Vector Solutions integration connects DriverHub, your driver compliance platform, with Vector Solutions, your learning management system (LMS). It brings each driver’s completed training courses into DriverHub and generates a certificate of completion on the driver’s record, so their Driver Qualification File (DQF) is complete in one place.

How It Works

Once configured, the integration keeps DriverHub current with Vector Solutions through a daily one-way sync:

1. File drop (4:30 PM Eastern) — Vector Solutions updates a file named Course_Completions_Over_Time.csv on an SFTP server every day at 4:30 PM Eastern.

2. Fetch and parse (8:00 PM Eastern) — DriverHub connects to the SFTP server, downloads the file, and parses each completion record every day at 8:00 PM Eastern. The four-hour buffer ensures the day’s completions are captured.

3. Driver matching — Each record is matched to a driver on email address (the UserName field from Vector), with first and last name used as a secondary tiebreak check.

4. Certificate generation — For every matched completion, DriverHub generates a PDF certificate using the agreed template and field mapping, then stores it on the driver’s record.

5. Exception handling — Records that cannot be matched do not fail the batch. DriverHub writes an error log to the customer’s Secure File Manager listing everyone who could not be matched, so they can be reviewed and resolved.

Setting Up the Integration

Setup is handled with your Customer Success representative. The DriverHub team securely stores the Vector Solutions SFTP host, username, and password, then enables the daily sync for your account. What a new customer needs depends on their Vector Solutions server:

  • At the least — A username and password to access the Vector Solutions file server, if the account uses the same host server already supported by DriverHub.
  • At the most — A new host server, username, and password generated by Vector Solutions. This path requires the DriverHub team to enhance the integration to support the additional Vector Solutions server.

Certificates

DriverHub generates one PDF certificate per completion using the agreed template and field mapping, and attaches it to the matched driver’s record. The branding on the certificate uses Vector Solutions as the name.

Who This Is For

Fleet operators running both DriverHub and Vector Solutions who want training completions reflected in the DQF, eliminate cross-referencing between two systems, and keep an audit-ready qualification file in one place.

Good to Know

  • One-way only — Data flows from Vector Solutions into DriverHub. Nothing syncs back to Vector Solutions.
  • Daily batch, not real-time — The sync runs once daily at 8:00 PM Eastern. Real-time or near-real-time updates are out of scope.
  • Timing note — A completion recorded after Vector’s 4:30 PM file drop will appear in DriverHub on the following day’s run.
